Describe the work
A workflow, then the swimlanes it crosses, then the activities inside them. Paste a list and they are added in one go rather than one form at a time.

Size it
Volume per year and how long each activity takes. That is the base case, and it is the only part you have to be honest about.

Name a scenario, cut an activity by a percentage or set it outright, adjust hours per person or a productivity gain — and read the staff it would take, beside the base case.

Do I need real measurements first?
No. Start with estimates and replace them when you have better ones — the model is worth having before it is precise, because the shape of the answer rarely moves.
Can I keep more than one version?
Yes. The base case never changes; every what-if is its own named scenario beside it, and modified activities are marked so you can see what you moved.
